Privacy policy

Who we are

Ringtrue is operated by [legal entity name] (ABN [number]) in Queensland, Australia. We provide cold-call practice and coaching software to businesses. This policy explains what we collect, why, and the choices you have. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

  • Account details: your name, work email, role, and the workspace you belong to.
  • Practice calls: the audio of your side of a practice call is processed live to produce a transcript. Transcripts, coaching reports and skill scores are stored when your workspace has transcript storage switched on. The prospect you speak to is software, not a person.
  • Playbooks and notes your workspace writes, including call notes you keep for yourself.
  • Usage and billing records: minutes practised, reports generated, plan and invoices.
  • Technical data: browser type, approximate location from your IP address, and error logs.

Why we collect it

  • To run practice calls and generate coaching for you.
  • To let your workspace director or manager see your progress, within the privacy level your workspace has chosen (full transcripts, or trends only).
  • To bill your workspace and meet our legal obligations.
  • To keep the service secure and improve it. We do not use your transcripts to train models.

Who we share it with

We use trusted providers to run the service: Supabase (database and sign-in, hosted in Sydney), Vercel (hosting, and anonymous, cookie-free visit statistics that never include your name, email or call content), ElevenLabs (live voice, which processes your speech in real time), OpenAI (coaching and scripts, which receives transcripts and playbook text), and Stripe (payments). Each acts on our instructions. Some of these providers process data outside Australia, including in the United States. We do not sell personal information.

Voice and recordings

Your workspace shows a consent notice before a live call. Your voice is streamed to produce a transcript and is not kept as audio by Ringtrue. Transcripts are kept only when your workspace has chosen to store them, and can be turned off by a director at any time.

Retention and deletion

We keep your data while your workspace has an account, plus [90] days, then delete it. A director can delete a workspace, and you can ask us to delete your account, at [privacy@yourdomain]. Billing records are kept for seven years as Australian law requires.

Your rights

You can ask to access or correct your personal information, or complain about how we have handled it, by emailing [privacy@yourdomain]. We respond within 30 days. If you are not satisfied you can contact the Office of the Australian Information Commissioner.

Security

Data is encrypted in transit and at rest. Access inside a workspace is limited by role, and one workspace can never see another. We will notify affected people and the Commissioner of any eligible data breach as the Notifiable Data Breaches scheme requires.

Changes

We will post changes here and, for material changes, email workspace directors.
